An Individualized Educational Plan (IEP) is a legal document developed for each student identified as a student eligible for special education services. The IEP is created by an IEP team and reviewed annually at an IEP meeting. This lesson will provide an IEP agenda template for an effective IEP meeting.

Individualized Education Plans

The Individuals with Disabilities Education Act (IDEA) requires specific areas to be included in the IEP. However the IEP format, style, and layout can vary according to your local or state requirements. Locals and states have the autonomy to include additional information; i.e., forms, if decided. Become acquainted with your local policies and procedures. The agenda explained below is a suggested template. Please adjust and utilize accordingly.

Think of the IEP as a physician's prescription. It is created and implemented with the individual student in mind. The IEP consists of the student's strengths, areas of need, annual goals, and other important information for the student to be successful in the educational setting. It is nearly impossible to discover an IEP that mirrors another. Always remember the importance of an IEP and how it comes to fruition. Conduct all IEP meetings in a professional manner.

Prior to the IEP Meeting

For a successful IEP meeting, address areas to make the meeting as comfortable and proactive as possible. Send a written notice of a scheduled IEP meeting at least 10 days in advance to the parents or guardian. Secure a meeting space that is comfortable and conducive for the meeting to occur; adult chairs, temperature controlled, private, disruption free, etc. Arrange for an interpreter if needed. A box of tissues, hard candy, and pens on the table is a nice gesture. Ensure that teachers requiring class coverage have coverage. Lastly, confirm attendance with all the team members for that last minute reminder.

IEP Meeting Agenda

There are some specific parts to the meeting that you will want to cover. Here are some of the most common things that need addressed at an IEP meeting.

Introductions

Introduce everyone at the meeting. Do not assume everyone knows everyone else. During introductions, explain their role in the student's educational experience or as a meeting attendee. For example; 'This is Mr. Smith, your child's civics teacher,' or 'This is Mrs. Key, she will act as our LEA representative.'

Meeting Protocols

State the purpose of the meeting. Ask participants politely to place cell phones on vibrate. Identify the nearest restroom. Define meeting roles (who will take notes, make copies, time-keeper, etc.). Most importantly, strongly emphasize the importance of this collaborative team effort involving all parties in attendance.

Procedural Safeguards

This step is very important. Procedural safeguards are the legal rights of the student and the parent. Omitting this step or failure to distribute procedural safeguards will result in a due process hearing. Familiarize yourself with procedural safeguards prior to the meeting. Ask for help from someone if you are uncomfortable, or supply the parent with a copy and the phone number of someone they could call if they have additional questions.
