This lesson discusses some of the technologies that help people better manage their time. You'll learn about the many features they provide and when they might be applied.

Technology & Time

Technology can be a serious drain on your time. Think about the hours you've spend aimlessly browsing the news online, texting your friends about nothing, or interrupting important tasks because your phone has, for the fourth time in a minute, buzzed with one notification or another. But when used properly, technology can certainly help us manage our time well too. Let's take a look at some ways that it can help us.

Calendars

Whether you use them on a desktop, laptop, or your smartphone, digital calendars are a great way to help you manage your time. Depending on the exact program you use, digital calendars help you organize in a lot of ways:

  • Quickly add in an event or task you must complete
  • Designate when the event will start and stop
  • Describe the event or task
  • Point out how much time you'll have to complete the event
  • Color code your event
  • Add numerous alarms, reminders, and notifications with respect to the event or task
  • Share your tasks, events, or even the calendar itself with coworkers

You can use calendars to help set up a meeting or remind you of one. You can use them to invite people to an event and track who has accepted, declined, or hasn't yet answered.

Time-Tracking

Another great technology for managing your time is time-tracking software. Again, there are many different software programs for this, but with these types of programs you can:

  • Set up tasks and track how much time they are taking up with just a single click. Some programs automatically do this with supported software.
  • Create visual reports of what takes up your time throughout the day and how much.
  • Generate alerts for instances when you're spending too much time on something.

Time-tracking software can be used for everything from personal time management (such as, are you spending too much time on Facebook at work?) to the budgeting of time or tracking of timelines when managing projects or teams.
